How to respond to Google reviews.

A practical guide for small business owners: why replies matter, how fast to send them, a structure that works every time, and templates you can copy for positive, negative, fake and star-only reviews.

Why replying to reviews matters

Most customers read reviews before they choose a local business, and they read the owner’s replies too. A reply tells the next customer that someone is listening. Google’s own advice to business owners is to reply to reviews, because it shows you value your customers and their feedback.

Replies also keep your profile active. Google lists the number of reviews and your rating among the signals of local prominence. A reply is not a ranking trick, but a well-kept, active profile is part of what Google weighs and what customers trust.

How fast should you reply?

Aim for within one or two days. A fast reply matters most on a negative review, because every customer who reads the complaint in the meantime is deciding whether you care. Set a routine: check reviews once a day, or have someone do it for you.

A five-part structure that works every time

  1. Thank them

Start by thanking the reviewer by first name, even when the review is negative.

  2. Be specific

Mention one detail they wrote about. It is the proof that a person read it.

  3. Own it

If something went wrong, say so plainly and apologise once. No excuses, no but.

  4. Move it offline

For any problem, give a named role and a way to reach them. Never debate details in public.

  5. Close warmly

End with an invitation back. Future customers read the last line too.

Google review reply templates

Copy a template, replace the brackets, and make one line specific to the review. Never post a template unchanged.

How to reply to a negative review

Read it twice and wait until you are calm. Then thank them, restate the problem in plain words, apologise once without excuses, and give a named person and a way to reach them. Keep it to four or five sentences. The customer may not change their mind, but the next fifty people who read it will see how you handle a problem, and that is who the reply is really for.

If the review mentions safety, health, discrimination or anything with legal risk, do not reply until the owner has seen it. A public reply cannot be unsaid.

What about fake reviews?

You cannot delete a Google review. You can report one that breaks Google’s policies, such as spam, a review from a competitor or former employee, or offensive content, from your Business Profile, and Google decides whether to remove it. While it is under review, reply politely without accusing anyone: say you cannot find a record of the visit and invite them to contact you. Future customers see a calm owner, not a fight.

What not to do

  • Do not argue, correct the customer, or reveal their order or visit details.
  • Do not offer refunds, discounts or freebies in a public reply.
  • Do not paste the same reply under every review. Readers notice, and it looks automated.
  • Do not confirm that someone is a patient or client in health, legal or financial services.
  • Do not offer anything in exchange for reviews or for changing one. Google prohibits incentivised reviews.
  • Do not wait weeks. Aim to reply within a day or two.

Healthcare, legal and financial businesses

If you run a clinic, a practice or a firm, privacy rules change the job. Never confirm that the reviewer is a patient or client, never mention their treatment or matter, and move every specific question to a private call. See how REllo replies for dental clinics and medical and wellness clinics.

Frequently asked questions

Should I reply to every Google review?

Yes. Google recommends replying to reviews and says it shows customers you value their feedback. Reply to positive and negative reviews alike, including ratings with no text.

How fast should I respond to a Google review?

Within one to two days is a good standard. Negative reviews benefit most from a quick reply, because other customers see it while the complaint is fresh.

Do review replies help local SEO?

Google lists the number of reviews and your rating among the signals of local prominence, and says that replying shows you value customers. Replies are not a shortcut, but an actively managed profile is part of what Google weighs.

Can I delete a bad Google review?

No. A business cannot delete reviews. You can flag a review that breaks Google policy, such as spam, conflicts of interest or offensive content, from your Business Profile, and Google decides whether to remove it.

Can I edit my reply later?

Yes. Owners can edit or delete their replies from the Business Profile at any time.
